The Sales Coordinator is responsible for clerical, administrative, and other supportive duties for the Sales Department to provide excellent customer service while delivering on business objectives of the Sales Department. As well as, providing prompt, courteous and efficient handling of all requests for group room block management, guest room reservations, changes and cancellations as well as information regarding the hotel.


The job duties include but are not limited to:

  • Answering calls, qualifying and selling our hotel's facilities and services to inquiries and sales leads
  • Generating proposals and agreements for group and meeting room events
  • Maintaining communication with clients from the beginning to end of their event, to ensure their satisfaction
  • Conducting hotel tours and site inspections for prospective clients
  • Attending community and industry networking events to represent the hotel
  • Documenting sales activities
  • Ensures that he/she adheres to all sales administrative processes that are in place including preparation and submission of reports or internal communications and meets deadlines.
  • Builds strong relationships and loyalty all clients/groups and maintains professional integrity.
  • Preparing sales contracts and proposals, maintaining accurate sales files, preparing and distributing correspondence to clients within hotel staff, and maintaining trace system
  • Coordinating rooming lists with the front desk team members
  • Knowledgeable of and follow through on all policies including deposit requirements, cut-off dates, comp rooms, meal guarantees, public space policy, room rates, etc.
  • Maintaining office supplies and inventorying collateral materials
  • Conducting both scheduled and unscheduled site inspections
  • Performing telemarketing calls as assigned
  • Conducting effective sales calls in accordance with assigned direct solicitation goals
  • Monitoring and maintaining meeting room schedule of events


Qualifications and Requirements:

  • At least on e year previous front desk, reservations or sales office experience
  • Prior hospitality experience
  • Clear, concise written and oral communication skills
  • Must be able to work efficiently in a fast-paced working environment
  • Must be extremely organized and detail-oriented
  • Ability to effectively multi-task, prioritize and meet deadlines
  • Proficient with computers including MS Word and MS Excel
  • Ability to learn to use new computer systems and programs
